Transactions Overview

Before you use the Transactions functions, set up and verify the codes and IDs you will use to enter transactions in Sales Order. Use the functions on the Accounts Receivable and Sales Order Setup and Maintenance menus to set up customers, codes, and IDs; then use the functions on the Accounts Receivable and Sales Order Master Lists menus and the Accounts Receivable Interactive Views menu to verify that they were set up correctly.

Use the functions on the Transactions menu to perform these tasks:

  • Use the Transaction Options dialog box to set tab stops for faster data entry on the Transactions screen.
  • Use the Transactions function to enter or edit new orders, invoices, price quotes, cash invoices, and miscellaneous credits for customers that are not associated with recurring entries.
  • Use the Order Acknowledgements function to print order acknowledgments for all new orders.
  • Use the Copy Recurring Entries function to create transactions for the recurring entries you defined in the Recurring Entries function.
  • Use the Change Batches function to replace a batch code with a different batch code, and to move transaction numbers from one batch code to another. This function is available only if you elect to use batch processing in the Business Rules function.
  • Use the Price Calculator function to determine the price of items before you enter transactions. You can also use the function to provide verbal quotes to customer without printing a quote.

To verify unposted transactions, use the Transaction Journals functions to print picking slips, invoices, the Sales Journal, the Miscellaneous Credits Journal, the Open Order Report, the Backorder Allocation Report, and the Daily Sales Tax Journal. If a transaction is incorrect, use the Transactions functions to edit it, then reprint the appropriate invoice or journal.
