Print Invoices

Use the Print Invoices function to print invoices, price quotes, and credit memos for the transactions you entered using the Orders function. This function is useful if you want to print invoices and credit memos, quotes, or all three for more than one transaction at one time. If you assign numbers to the invoices when you enter them, print the Sales Journal before and after you print the invoices.

You can also print an invoice online when you enter a transaction. Invoices that are printed or reprinted online are not reprinted using the Print Invoices function.

You can reprint invoices either online or by using the Print Invoices function. If you reprint invoices online, the invoice number in the Invoice Number field on the Transactions screen is retained. If you reprint invoices using the Print Invoices function, a new invoice number is assigned to invoices and price quotes based on the number in the First Invoice No field on the Print Invoices screen. After reprinting invoices, print the Sales Journal to obtain a record of the invoice numbers.

Note: If you use multicurrency, invoices print only in the transaction currency.

After printing invoices, a log report showing the totals generates.

  1. Select the SO Transaction Entry Completed check box after completing transaction entry.
  2. Select the date to be printed on the invoice from the Date field.
  3. Enter the first invoice number to use from the Starting No field. If you are reprinting invoices, enter the number of the last invoice that was printed correctly in the Last Good No field.
    Note: Invoice numbers you entered during transaction entry, except those you entered for online invoices, are overwritten by this function.
  4. Select a message to print on the invoices from the Message field.
  5. Select the Additional Descriptions check box, if applicable, to print additional descriptions on the invoices.
    Note: This field only appears if you elected to Use Additional Descriptions in the Business Rules function.
  6. Select the Federal Tax ID check box, if applicable, to print the federal tax ID for the current company at the bottom of the invoice.
  7. Select the Print Kit Detail check box, if applicable, to print kit detail on the invoices.
    Note: This field only appears if you have the Bills of Material/Kitting application installed.
  8. Select the transactions to include from the View section.
  9. Select the batches to include from the Batch List section.
    Note: Only available if you elected to use batch processing in the Business Rules function.

    Print Print invoices.
    Preview View a preview of invoices.
    Reset Set all fields to their default values.
    Output Output invoices as PDF, HTML, MHT, PNG, or RTF files.
    Activity Open the Activity Log dialog box where you can view information from previous file creation.
    Search Document Open the archived documents search dialog box (only available if SO business rule to Use Archive is set to 'Yes')
    Search Document Queue Allows you to search the document queue and send documents from the queue. You can also edit the subject, destination email address, and display name, if necessary. See Manage Document Queue for more information.
