Location Transfers

Use the Location Transfers function to enter information about the items transferred between the locations you manage in Warehouse Management. When transfers are complete, use the Post Location Transfers function on the Reports and Worksheets menu to update Warehouse Management detail history and create the accounting entries required to track the transfers’ costs.

Remember that this function is separate from the one contained in the Inventory application. The Inventory function is essentially a one-step process—you enter the transfer information and the item quantities are updated at both locations instantly. The Warehouse Management Location Transfers function is a three-step process that fully tracks and accounts for items and costs during transit: you enter the location transfer, release orders and pick items for transit at the source location, then receive goods at the destination.

Although Warehouse Management updates information in Inventory, transfers in Warehouse Management are stored in separate tables than those in Inventory. That is, you cannot view information for a transfer you entered in Inventory in Warehouse Management and vice versa.

Warehouse Management allows you to assign the costs of transit to either the source or destination location for more accurate accounting. To assign transit costs, select the appropriate location in the Business Rules function.

A number of reports are available on the Reports and Worksheets menu to help you track and manage location transfers. After entering or editing transfers, print the Location Transfers Report to view general transfer information. Print the Location Transfers Packing List after picking and shipping items from the source location to list the items in the shipment and the transfers to which they apply. Before you post, print the Location Transfers Journal as a record of the transfers that were completed since the last time you posted as part of your audit trail.

  1. Select a batch code from the Batch Code field, if available.
  2. Click the New button, on the toolbar, to add a blank location transfer record.
  3. Change, if applicable, the transaction status in the Status field.
  4. Status  
    New New transfers are those that have just been entered and for those yet to be picked.
    Picked When you pick the full quantity of items for shipping and confirm the items you picked, the transfer status changes to Picked.
    Completed When you have received all items for a transfer, Warehouse Management changes the status to Completed.
  5. Select the item to transfer from the Item ID field.
  6. Select the item's source location from the Location ID From field.
  7. Select the item's destination location from the Location ID To field.
  8. Enter the quantity of the item you want to transfer in the Quantity field.
  9. Select the unit of measure for the item from the UOM field.
  10. Enter the Lot Number and/or Serial Number of the item you want to transfer, as necessary.
  11. Enter the cost of the transfer in the Transfer Cost field.
    Note: When you post location transfers, the transfer cost posts to the GL account specified for transfer costs by the GL account code assigned to the item's source location.
  12. Enter a packing slip number to associate with the location transfer in the Packing Slip Number field, as applicable.
  13. Enter the date of the transfer in the Transaction Date field.
  14. Enter any applicable comments in the Comments/Notes field.
  15. Click the Save button, on the toolbar, to save the new location transfer.

Release Release items to pick for the order if the WM business rule for release for picking is set to 'Manual'. See WM Release for more information.
Note: If a location transfer is released from WM location transfer by using the Release button, any text in the Comments/Notes field on the location transfer will display in the Notes column in the WM Release Items screen.
Users can print the picking list immediately after releasing a transaction, based on the Sales Order business rule Release for Picking. The released transaction is automatically selected in the WM Picking List by default.

The next step in the location transfer process is to create a picking list and pick the items to transfer. Once the items are picked, the next step is to pack and confirm them for shipping. At the receiving location, use the Receive function to receive the items, and the Put Away function to put the items into inventory, as needed. Complete the process by reviewing the Location Transfers Report, printing the Location Transfers Journal, and posting location transfers.
