Service Repair Transactions Overview

Service Repair Transactions are functions that you use for daily tasks such as jobs, material charges, purchase order returns, time cards, and job inquiries.

Job Transactions are your way to track work to be done on equipment belonging to your Customers. Use Job Transactions to organize and track equipment service, and document parts used and labor time for work performed by your technicians.

The flow of the Job Transaction process is illustrated in the flowchart below:

Before you use the functions on the Transactions menu, set up your Departments, Work Types, Work Schedules, Codes, Job Types, Work Plans, Nameplate templates, QA Worksheets, and Customer Instructions using the functions on the Setup and Maintenance and Code Maintenance menus.

To work with Job Transactions, do the following steps:

  • Use the Job Transactions function to enter and update Job Transactions such as Quotes, Estimate Jobs, and Approved Jobs.
  • Create Purchase Orders for non-stock or unavailable stock items required for the job. These purchase orders can be linked to the job.
  • Use the Update Transaction Links function to update linked quantities by Batch ID. This allows you to update all job transactions in a batch rather than updating each job transaction one by one.
  • Use the Material Charges function to capture materials consumed for a job. You can use the Material Charges function to add the material charges to the job transaction, or apply material credit to the job transaction.
  • Use the Purchase Order Returns function to generate a Material Charge Return transaction and a Purchase Order Return transaction for materials charged to a job. Materials charged to a job appear on the Detail tab on the Job Transactions screen.
  • You can enter time clock information for job transactions using the Time Clock function.
  • Use the Time Card function to enter or edit time card information for employees before the hours are posted.
  • Use the Job Card QA Entry function to enter values corresponding to the tasks listed on the job card.
  • Use the Job Inquiry Lookup function to find job transactions on which to inquire.
  • Use the Job Inquiry function to view details of active and historical job transactions.
